Self Appointment Booking - Patient Experience

What the a recipient sees upon receiving an Appointment Booking Link

Date of Birth Entry

Once the Appointment Booking link has been sent to the patient via SMS and they have clicked on this link, they will be prompted to enter their date of birth in order to continue

If the ability to decline has been configured when the SMS was sent, they will be able to do so by clicking Decline Invitation. Once this has been declined, the patient will need to contact your practice if they change their mind

Once a text entry box is selected it's highlighted in yellow to indicate where the patient is entering the date

Once the Patient has entered their DOB in the correct format (DD/MM/YYYY), the Confirm date of birth button turns green and can be clicked to proceed

Once clicked, the DOB is verified to check that it matched their details in the clinical system. The patient will be informed of this while they wait

If the patient enters their DOB in an incorrect format, they will be notified and the Confirm date of birth button will remain disabled until this is resolved

If they submit a DOB that does not match the records you hold for them, then they will be notified of this. They have 3 chances in total to submit the correct DOB, and are notified of how many attempts they have left

If their DOB is entered incorrectly 3 times they will be prompted to contact your practice directly

Date Selection

Once the patient has entered their DOB correctly they will be taken to a landing screen displaying all of the available appointments

The Next Available appointment is displayed at the top of this page for ease of access

All other appointments are then displayed below this under Available Appointments

To view all of the appointments for a set date, the patient will need to click the Plus icon to expand the view

Once expanded, the selected date is highlighted yellow and the available appointment slots are shown

Once a time has been selected, the slot is highlighted yellow and the Select appointment button becomes active

Once the patient clicks the Select appointment button, they are shown a loading screen while checks take place to ensure the appointment slot is still available

They will then be prompted to review their appointment details before confirming and booking

Once the Confirm and book appointment button has been clicked, the patient is shown a loading screen whilst this is actioned

A confirmation screen is then displayed showing their appointment details. The patient is also given the opportunity to add the appointment to their calendar

If a booking link has been sent to a patient when there are no available appointments left, they are informed of this and told to contact your practice

In the instance where an appointment is booked by another patient, they will be notified that the slot is no longer available and prompted to choose another

Accessing the link once an Appointment is booked

Once the patient has booked their appointment, the booking link can still be accessed in order to view the appointment details, or to cancel or reschedule

When accessing this link, they will be prompted to re-enter their DOB

Once their details have been validated, the appointment details are displayed. From here, the patient can either Cancel or Reschedule

If they choose to cancel the appointment, they will be notified via the below screen

If the appointment is not able to be cancelled, then they will be prompted to contact your practice directly to discuss cancellation

If they choose to reschedule, they will be taken back to the start of the date/time selection to rebook a new appointment
