Surgery Intellect - Meeting Mode

Capturing non-clinical Meeting Notes with Surgery Intellect, powered by TORTUS

Using Meeting Mode within Surgery Intellect, powered by TORTUS, allows you to record, transcribe and summarise your general workplace meetings

This feature is purpose built for non-clinical use cases, making it ideal for use in practice meetings, team huddles or administrative catch ups

Creating Meeting Notes

To begin a new meeting, launch Surgery Intellect from the Phonebar

Click Start Meeting to begin

A new meeting will open and the recording will start

Enter your Meeting name in the provided field

You can pause the recording at any time by clicking the Pause icon

The recording will start using your default microphone - to change this, click the dop down and select the audio input you require from the drop down

You can add any additional information relevant to the present meeting by entering these into the Additional notes box. These can be configured using the formatting boxes available

Once your meeting has ended, click Finish and generate minutes to complete the notes

The meeting notes will generate and will be available for you to view and edit if required. These will be created using the default Meeting Summary Template

To select a new template to use, select it from the dropdown, then click Regenerate

To create your own Meeting Note Template, click the settings cog. For more guidance on creating these, see the Creating Meeting Note Templates section below

To make an edit to the meeting notes generated, simply click into the text field and make any required changes

You can rate the accuracy of your meeting note by using the thumbs up/thumbs down icons. These are passed directly and monitored by the team at TORTUS

To view the meeting notes in full screen, click View full page

To copy your meeting note to the clipboard, click Copy meeting note


Viewing Previous Meeting Notes

All previous meeting notes are held in Surgery Intellect for 24 hours before they are permanently deleted. To view past meetings, click View Meetings

All previous meetings (within the 24 hour time frame) are displayed on the left hand side

To view a meeting note, click on the required item. This will then display on the right hand side of the window

Incomplete meeting notes will be shown as In Progress. These can be accessed and completed from this window

The expiry time is displayed for each meeting note in the bottom left hand corner

Please Note: if you wish to keep meeting notes for longer than the set 24 hour period, you will need to copy these and save them to your desired location


Creating Meeting Note Templates

Once a meeting has taken place and the notes have been generated, you can view and create your own custom templates via the Meeting note section

Click the Setting cog next to the Template dropdown to get started

Your meeting note templates are shown in the left hand column. To begin with, there is one default template available - Meeting Summary. Any custom templates you have created are shown alongside this

To make a copy of the default template, which can then be edited, select it and click Edit a copy

To add a new custom template, click + Create new template

To begin, you will need to give the Template a name, and select a template to base it on. Once you have done this, click Create template

Once created, you will be able to customise each section, as well as add and remove any sections you require

You will need to give each section a heading, and define the instructions to ensure that the relevant information is included

When saving a template in Surgery Intellect, each sections heading and instructions are checked against safety guidelines. If an error is flagged, the save button is disabled and the affected section will be highlighted with a message asking you to correct it before you can save

By using the icons at the top, you can change the formatting of the text, or Undo actions to restore previous text

The Style of the note can be set to either Comprehensive or Concise. To set whether the information is displayed in Bullet Points, set the toggle to either On or Off

By accessing the Advanced Settings, you can choose whether a placeholder text is shown when the section has no content. To set this, set the toggle to On and enter your custom phrasing in the box that appears

Once the template is ready and there are no errors, click save

Your new template will then be displayed on the left hand side

Please Note: Meeting note templates are currently created on a per User basis. Your created templates will only be visible to you
