Assigning an Generic User

You can assign a generic users to a handset where Users will not log in as themselves, for example in a Staff Room.

How do I create a room extension/generic user?

The handsets installed will not have an extension number of their own.

If a handset is in a room where Users will not log in as themselves, for example in a Staff Room, a dummy (generic) User can be created so that you can call the handset directly, once the Generic User is logged in.

Step by step guide

Assigning a Generic User

  1. Navigate to the Extension list in the Service Delivery Console

  2. Click the blue Edit button in the row of the Extension you want to change

  3. You can now change the Extension’s Name/Location and Permitted Users directly in the Extension table

  4. Click the blue Assign Generic User button

    This will automatically create a User, allocate an internal short dial number and make the new User the only Permitted User on the handset

  5. The changes will be saved automatically and you will see the green Success or a red Error message at the top of the screen

    Any issues will be detailed in the Error pop ups

  6. This will allocate a 5 digit number

    You can then edit the Generic User’s details in the User list to change the short dial allocated if needed, to fit within your number range


Changing the Generic Users Short dial

  1. Navigate to the User list in the Service Delivery Console

  2. You can search for your new generic user or scroll through the User list

  3. Click the blue Edit button in the row of the User you want to change

  4. The Edit User window will open

  5. In the User Details tab you can change the User’s Name, Email address, Short Dial or Role (User Permission Level)

  6. Click the Save User button to save the changes, or the grey cancel button to stop editing the user

You will see a green Success, a red Error or a yellow Warning message at the top of the screen

Any issues will be detailed in the Warning or Error pop ups

Correct any errors in the User table and click the tick to save


Removing the Extension Login Button

Once you have created your Generic User, it is best practice to remove the Login Button from the extension, this means that the handset and the Short Dial connected to it, can not be disconnected/logged out

  1. Log In to the handset as the Generic User

  2. Navigate to the Configuration Console

    Don't forget - if you are already logged into a Surgery Connect console, you can navigate to any other console quickly by using the Menu, next to your initials

    Or; Click on the arrow in your toolbar to see the hidden icons

    Right click on the Surgery Connect Logo and select Launch Consoles. This will open up the selected console in a new window for you

  3. To the left of the Configuration Console you will see the menu. Select Extensions

  4. To the right of the menu you will now see a full list of your named extensions (desk phones)

  5. The extensions will be listed alphabetically, scroll down the screen until you find the extension you are looking for, or type into the search bar

  6. Click on the edit button to open all of the configurable aspects you have for that extension

  7. The Editing extension window will open. Click on the Buttons tab

  8. You will see an image of your handset showing the available buttons you can customise. The login button is normally one of your Line keys (hard keys)

  9. Click in the drop down box and select Not Set

  10. Click Save

  11. You will be notified that the device has been updated
