Surgery Intellect - Non-integrated Phonebar

Using Surgery Intellect, powered by TORTUS, with the Non-Integrated Phonebar to create unassigned consultation or dictation

When there is no integration with a clinical system Surgery Intellect can be used to generate consultations or dictations without attaching the contact to a Patient

We would recommend using the Non-integrated mode to create test consultations to ensure everything is working smoothly before commencing a clinic with patients

Launching Surgery Intellect from the Phonebar

To activate Surgery Intellect for a face-to-face consultation, click the Intellect brain icon on the Phonebar

Once selected, the Intellect window will open


Launching Surgery Intellect for a Telephone Call

Once a call is in progress, you can launch Surgery Intellect by clicking the brain icon next to the call controls

Once Intellect has been activated, the icon turns white. This can be clicked at any point during the call

The Intellect tab will open, and you will be notified that the call is in progress

Once the call has ended, the transcript will generate and you can complete the consultation using the steps below


Launching Surgery Intellect for a Face-to-face Consultation

Once you have opened the Intellect tab, the features are displayed ready for you to use. From here, you can view your in-progress and completed Consultations and Dictations from the past 24 hours via the tabs on the left hand side

These consultations remain in the archive for 24 hours before deletion

To begin a Consultation, click the Start Consultation button

The consultation will then launch and recording will begin

Pause the dictation at any time by clicking in the red box. To resume recording, click the box again

To change the audio input for the dictation, click on the dropdown next to the microphone icon and select the device you wish to use

Add the Patient's name and Date of birth into the relevant fields

You can also add supporting notes to this consultation if required. Add your comments in the Add Context box, and click Finish and generate notes once complete

You can then complete the consultation using the steps below

Please note: all consultations (regardless of whether they are patient-led) are archived to the TORTUS Consultation list once completed, where they remain for 24 hours before deletion. Patient-led consultations via the integrated Phonebar are then accessible through the patient contact history after these 24 hours, but consultations made via the Non-integrated Phonebar will be permanently deleted

Launching Surgery Intellect for Dictations

To begin a dictation, click the Start Dictation button

Once clicked, the recording begins automatically and continues until the recording button is clicked to stop the dictation

Once the recording has finished, the transcription is displayed. From here, you can make any necessary edits, before copying to the clipboard via the Copy Transcript button, or choose to Start new dictation


Completing a Consultation

Once a consultation has been completed, the transcript is generated and you can add supporting comments and medical codes, and generate clinical notes. To begin, add the patient name and date of birth into the relevant fields

The full transcription can be viewed by clicking the Transcription button, and any required comments not mentioned during the call can be added by adding Context in the box below it

You can change the style and structure of the Clinical Note by using predefined templates. Once you have made changes, click Regenerate to create a new note

You can also Copy and Edit the content using the buttons located underneath the Clinical Note

Based on the content of the consultation, Surgery Intellect will identify medical codes that may be relevant. Each one displays the code and any observable values, as well as showing the consultation content that prompted the code to be generated

If any of these codes are not required, they can be toggled On or Off against the consultation as desired

You can then generate a letter, if necessary, based off the consultation content. There are three letter templates available:

  • Patient Letter

  • Colleague Letter

  • GP - Specialist Referral

Once the letter is generated, you can view the content and copy the letter to the clipboard if required

You can also rate the accuracy of the generated letter by using the thumb icons

Once you're happy with the consultation content, click Complete Consultation


Accessing Surgery Intellect from the Call History

To add Surgery Intellect for a call that has already taken place, navigate to the Communications Window Calls tab

Select the call you need from the list on the left hand side

Click the Add Intellect button to complete the consultation
