Adding calendars through the Configuration Console, bank holidays, repeat events and making modes.

How do I make a new calendar?

Creating a Calendar through the configuration console, gives you more customisable options from the start, including adding new calendar modes and changing their priority, automatic bank holidays and scheduling repeat events

Step by step guide

Accessing Calendars

  1. Log in to Surgery Connect - sso.x-onweb.com - with your NHS email address and Surgery Connect password

  2. Select the Configuration Console

  3. Click on Calendars in the left hand side menu

  4. The calendars table will display


Adding a new Calendar

  1. Click the New calendar button

  2. The Create calendar window will open

    Set the details for the calendar here

  3. If you have an existing calendar you would like to copy you can select it from the dropdown list, and your new calendar will have the same events scheduled automatically

  4. Save your new calendar

  5. Once saved the Calendar will open so you can make any changes required


Adding Bank Holidays

Bank Holidays can be automatically scheduled into any of your calendars

  1. Toggle Use Public Holidays to Yes

  2. Chose your Public holiday mode for the Bank Holidays so that callers can be routed to the correct call flow and prompt message

  3. Save your changes

  4. The changes will be saved automatically and you will see the green Success or a red Error message at the top of the screen

    Any issues will be detailed in the Error pop ups

  5. Cancel will close the window without making any changes


Adding Events

Your calendar runs automatically by using scheduled modes/events

Modes can be added to the calendar in advance and when it is time for the event, the call flow will automatically follow the designated call route for that Mode

Single Events

  1. Drag and drop the required Mode from the left-hand side on to the correct date and the approximate time on the calendar

  2. The Event Manger will pop up

  3. Turning off the repetition will create a Single Occurrence of the event on the calendar. Toggle Repeat to No

  4. The Event Manager window will change

  5. Check or change the Start and End Time of your event and check or change the Event Date

  6. Toggle Full Day on if the event is for the full day

    You can change the Event Date here if you need to

  7. Check or change the Assigned Mode. The mode showing will be the mode you dragged onto the calendar

    To change the mode click on the dropdown menu and select a different mode

  8. Save your changes

  9. The changes will be saved automatically and you will see the green Success or a red Error message at the top of the screen

    Any issues will be detailed in the Error pop ups

  10. Cancel will close the window without making any changes

Repeat Events

  1. Use the Navigation Arrows to move to the date needed on the calendar

  2. Drag and drop the required Mode from the left-hand side on to the correct date and the approximate time on the calendar

  3. The Event Manger will pop up

  4. Toggle Full Day on if the event is for the full day

  5. Check or change the Assigned Mode. The mode showing will be the mode you dragged onto the calendar

    To change the mode click on the dropdown menu and select a different mode

  6. Repeat will be toggled on automatically as Yes

  7. In the Repeat area of the Event Manager you can change the Repeat settings for your event

    You can set the event for specific days of the week, Daily, Monday to Friday or Weekends

    Or you can make the event Monthly or Annually by selecting those tabs

    You change change your events dates here

    If you do not select and End Date the event will run indefinitely

  8. Save your changes

  9. The changes will be saved automatically and you will see the green Success or a red Error message at the top of the screen

    Any issues will be detailed in the Error pop ups

  10. Cancel will close the window without making any changes


Editing Modes and mode priority

  1. Click on the Edit icon above the calendar mode list

  2. Select the Edit icon on the mode you would like to change

  3. Make your changes

    You can change the mode name, the text colour, background colour and choose a different icon, to make yo mode easily identifiable

  4. Click Save when you are happy with your changes

  5. Change the priority of the calendar modes by grabbing the mode, (click and hold left mouse button) and dragging it up or down the list

    The higher priority modes will override the lower ones, for example you will want the Emergency Mode when on to override Open, and for Open mode to override Closed

  6. When you are happy save the changes

    The mode priority will be the same for every calendar used by the Surgery
