You can make a video call when calling a mobile number (smartphone) via the Phonebar when device is set to softphone.

How do I make video calls from the Phonebar?

Video calls can be made to a patient with the Phonebar. To make a video call you must be using the softphone as your call device and you must send the video call request to a smartphone/tablet

You can video call directly from the Phonebar dialler, you can convert a voice call to a video call, video call from the Active Patient window, and video call from Appointments

This guide will explain how to send the video call request to a patient, receive video calls, listen to a video call recording and file video calls

Step by step guide


Before you start!

  1. Click on the dialler icon to expand the Phonebar

  2. Make sure your User Status is Available

  3. And you are connected to the softphone


Making a video call from the Phonebar dialler

  1. Click into the Enter phone number box

  2. Dial a number in the Enter phone number box using:

    1. Copy & paste

    2. Using the keypad on your PC keyboard

    3. Dial directly from the keypad of your desk phone

  3. When a telephone number is added the call icons lights up, click on the Video call icon

  4. When you press the video call icon you will see a window asking you to confirm you want to start a video call. To proceed click SEND INVITE

  5. To proceed click SEND INVITE

  6. The next window will show you the progress of the video call journey from when the invitation is sent to it being opened and actioned by the patient

  7. Once the patient accepts the invitation by clicking on the URL link and selecting start video call, your Phonebar will call you with an incoming video call

  8. The patient will display in the main body of the softphone screen and you will display as a thumbnail in the bottom right hand corner

    Note: It is best practice to voice call your patient first to inform them that you would like to start a video call with them, if a video call appointment has not previously been made


Voice Call to Video Call

  1. When you are on a voice call with a patient with your softphone as your call device click on the video call icon

  2. When you press the video call icon you will see a window asking you to confirm you want to start a video call

  3. To proceed click SEND INVITE

  4. The next window will show you the progress of the video call journey from when the invitation is sent to it being opened and actioned by the patient

  5. Once the patient accepts the invitation by clicking on the URL link and selecting start video call, your Phonebar will call you with an incoming video call

  6. The patient will display in the main body of the softphone screen and you will display as a thumbnail in the bottom right hand corner


Making a video call from the Active Patient

  1. Click on the video call icon, this will automatically select the mobile number associated with the active patient

  2. By clicking directly on the Video Call icon the SMS video request will be sent to the mobile number listed for that patient

    Or, hover over the Video Call icon for the active patient, you can click on the number in the list or type an alternative number/email address into the box and then click the Video Call icon

  3. When you press the video call icon you will see a window asking you to confirm you want to start a video call

  4. To proceed click SEND INVITE

  5. The next window will show you the progress of the video call journey from when the invitation is sent to it being opened and actioned by the patient

  6. Once the patient accepts the invitation by clicking on the URL link and selecting start video call, your Phonebar will call you with an incoming video call

  7. The patient will display in the main body of the softphone screen and you will display as a thumbnail in the bottom right hand corner


Making a video call from Appointments

  1. Click on the video call icon, this will automatically select the mobile number associated with the active patient

  2. By clicking directly on the Video Call icon the SMS video request will be sent to the mobile number listed for that patient

    Or, hover over the Video Call icon for the patient, you can click on the number in the list or type an alternative number/email address into the box and then click the Video Call icon

  3. When you press the video call icon you will see a window asking you to confirm you want to start a video call

  4. To proceed click SEND INVITE

  5. The next window will show you the progress of the video call journey from when the invitation is sent to it being opened and actioned by the patient

  6. Once the patient accepts the invitation by clicking on the URL link and selecting start video call, your Phonebar will call you with an incoming video call

  7. The patient will display in the main body of the softphone screen and you will display as a thumbnail in the bottom right hand corner


The patient experience

  1. The patient will receive a text message/email from the surgery stating that the GP has requested a video call

    There will be a link in the body of the message that the patient needs to click on

    Note: They do not need to download an app

  2. A window will open with some guidance notes and a Start Video Call button

    If you are converting a voice call to a video call, the voice call will continue until the patient clicks on the Start Video Call button

    NOTE: They will temporarily lose audio with the GP whilst the call converts to a video call

  3. Once the GP answers the incoming video call both parties will appear on the screen, the patient will take up the majority of the screen and the GP will appear in the bottom right corner

Receiving a video call

  1. When you receive a Video call your Phonebar will expand

    Your Phonebar will show a flashing green video camera to alert you to the fact that you are receiving an inbound video call

  2. Click on the green camera to start the video call with the patient

  3. Your video call will take place on your main display, the patient will take up the majority of the video call screen and you will be a thumbnail in the bottom right hand corner
