You can make basic changes to your calendars by editing, or you can change or add calendar modes through Advanced Calendar Settings.

How do I edit my calendars or create events?

You can edit your calendar through the Service Delivery Console

You can edit the basic details or you can add/change modes on your automatic calendar

Step by step guide

Accessing Calendars

  1. Log in to Surgery Connect - sso.x-onweb.com - with your NHS email address and Surgery Connect password

  2. Select the Service Delivery Console

  3. Click on the Calendars tab

  4. When you access the list of Calendars you will see this table

Editing Calendar Details

  1. Navigate to the Calendars list in the Service Delivery Console

  2. Identify the calendar you want to edit from the Calendar table

  3. Click on the blue pen Edit button

  4. This will enable you to edit the name and opening/closing times of your calendar only

  5. Change the Name of your calendar

  6. Change the opening or closing times of your calendar

    If the opening times are different throughout the week you will have to change them through Advanced Calendar Settings

  7. Save your changes

  8. The changes will be saved automatically and you will see the green Success or a red Error message at the top of the screen

    Any issues will be detailed in the Error pop ups

  9. Cancel will close the window without making any changes


Advanced Calendar Settings

Modes can be added to Calendars to create an event. The messages and actions for that Mode can be set in the call flow. See our guides on X-flow.

There are standard Modes created on Surgery Connect with pre-set messages, however, you can create new Modes if extra options are required.

Your calendar runs automatically. Modes can be added to the calendar in advance and when it is time for the event, the call flow will automatically follow the designated call route for that Mode

For example, the Holiday Mode will advise that the practice is closed for Public Bank Holidays, and that patients should dial 111 if they need assistance before the practice opens, or 999 if it is an emergency

The call will then disconnect so that the patient can dial another number. All of the pre-set messages and actions can be modified in X-flow


Adding a Mode to a Calendar - Single Event

  1. Navigate to the Calendars list in the Service Delivery Console

  2. Identify the calendar you want to edit from the Calendar table

  3. Click on the teal Advanced Calendar Settings button

  4. Use the Navigation Arrows to move to the date needed on the calendar

  5. Drag and drop the required Mode from the left-hand side on to the correct date and the approximate time on the calendar

  6. The Event Manger will pop up

  7. Check or change the Start and End Time of your event and check or change the Event Date

  8. Toggle Full Day on if the event is for the full day

    You can change the Event Date here if you need to

  9. Check or change the Assigned Mode. The mode showing will be the mode you dragged onto the calendar

    To change the mode click on the dropdown menu and select a different mode

  10. Save your changes

  11. The changes will be saved automatically and you will see the green Success or a red Error message at the top of the screen

    Any issues will be detailed in the Error pop ups

  12. Cancel will close the window without making any changes


Adding a Mode to a Calendar - Repeating Events

  1. Navigate to the Calendars list in the Service Delivery Console

  2. Identify the calendar you want to edit from the Calendar table

  3. Click on the teal Advanced Calendar Settings button

  4. Use the Navigation Arrows to move to the date needed on the calendar

  5. Drag and drop the required Mode from the left-hand side on to the correct date and the approximate time on the calendar

  6. The Event Manger will pop up

  7. Toggle Repeat on

  8. The Event Manager will change. In the Repeat area of the Event Manager you can change the Repeat settings for your event

    You can set the event for specific days of the week, Daily, Monday to Friday or Weekends

    Or you can make the event Monthly or Annually by selecting those tabs

    You change change your events dates here

    If you do not select and End Date the event will run indefinitely

  9. Toggle Full Day on if the event is for the full day

  10. Check or change the Assigned Mode. The mode showing will be the mode you dragged onto the calendar

    To change the mode click on the dropdown menu and select a different mode

  11. Save your changes

  12. The changes will be saved automatically and you will see the green Success or a red Error message at the top of the screen

    Any issues will be detailed in the Error pop ups

  13. Cancel will close the window without making any changes
