How do I change my Phonebar settings?

Each User can change the basic settings and application preferences to suit their hardware set-up and how they use the clinical system integration to suit them

This guide will show you how to access and change the Phonebar settings


Accessing Settings

  1. Expand the Phonebar

  2. Click on the Settings icon

The settings panel is different for EMIS and SystmOne Customers, click below to choose


EMIS Users Settings

This section outlines the windows and settings available for EMIS users.

Preferences

Preferences relate to how the clinical integration interacts with the Phonebar

Preferences Window

Quick File

You can select whether to turn on Quick File for calls - automatically open patient records on answering inbound patient calls - and to login to your deskphone automatically when logging into your clinical system (in the surgery)

To select the setting, click on the white button. When a mode has been selected it will be in bright blue. Toggle On

When an option has not been selected or is deselected it will be greyed out. Toggle Off

Find patient records for incoming calls

The system can automatically open a patient record when you answer an inbound patient call

If we find more than one possible patient for the number that’s calling we will offer you the choice of which record to open

Once you have answered that call, select the correct patient

When you click on the patient ID pop up this will do two things;

  1. Open the patient record in your clinical system

  2. Associate the call to the patients' Contact History

Auto Login

Selecting Auto login automatically logs you in to your deskphone when you log into your clinical system

Or you can set it to confirm which device you would like to log in to each time

Audio & Video

Select Audio and Video from the left hand menu, the Audio and Video tab will display

Microphone

Next to Audio is a drop-down menu of the audio options e.g. integrated speakers and microphone or headset microphone. Select the device you wish to use, when there is a list to select from

If there is only one option available to you that will be your default audio device

Camera

Next to Video is a drop-down of the cameras available for you to choose from. Select the camera you wish to use, when there is a list to select from

If there is only one option available to you that will be your default video device

Note: In some instances, you may only have one audio or video option depending on the setup of your PC. Some have integrated cameras and a plug-in webcam too, others do not

Secondary Ringer

The secondary ringer option is predominantly for softphone users so if they are not wearing their headset or do not see the inbound call on their screen they can still hear the ringing through an alternative speaker

Select the alternative output by clicking on the dropdown menu and selecting the speaker of your choice.

SystmOne User Settings

This section outlines the windows and settings available for SystmOne users.

Integration

Integration relates to how the clinical integration interacts with the Phonebar

You can select whether to turn on Quick File SMS and automatically open patient records on answering inbound patient calls.

  1. To select the setting, click on the white button. When a mode has been selected it will be in bright blue. Toggle On

    When an option has not been selected or is deselected it will be greyed out. Toggle Off

NOTE: It is not possible to select Quick File Telephone Calls, this toggle will be greyed out

File SMS by default

Toggle File SMS by default on and every SMS you send to a patient will automatically be filed to their patient record

Display to show Phonebar

If you are using multiple screens you can change which screen the Phonebar displays on.

Your screens should be named automatically for you to choose from.


Contacts

Choose whether to list all available colleagues in alphabetical order or all available colleagues by group.
