How do I use the Phonebar?

The Phonebar brings powerful communication tools to your desktop.

The Phonebar integrates directly with your clinical system so you can make and receive internal and external calls and video calls, send ad hoc and template SMS and request photos through the Active Patient.

Clinicians can also access their Appointments within the Phonebar to seamlessly switch between patient records to call, send SMS, request photo or video call.

The Surgery Connect Phonebar will appear in its collapsed state. By default this will be pinned to the bottom of your main display screen. It can be dragged left or right as needed.

This guide will take you through the basics of the Phonebar, starting up, moving, call functions and clinical integration, logging on and selecting your call device.

Step-by-step guide


Start-Up

Your Phonebar should start automatically when you switch on your PC or laptop

You must log in to your clinical system to make and receive calls

If your Phonebar does not appear, you can click on the Phonebar shortcut,

Or, type Phonebar in the Windows search box


Expand and Move

  1. Click on the phone dialler icon to expand the Phonebar

  2. Click on the arrows to collapse

  3. You can move the Phonebar from side to side

    Click and hold the the left mouse button, and drag the Phonebar into the desired position

If you are using multiple screens users can also change which screen the Phonebar displays on. This can be accessed via Settings

User Status

The User Status is colour-coded as a traffic light system so that you can easily identify what status you or your colleagues are in

Change my status

  1. With your Phonebar in its expanded state click on the User Status icon, and select your desired state

  2. You can still see your current User Status when the Phonebar is collapsed by the colour dot in your Surgery Connect Icon

Available

You can make and receive calls

Direct Calls Only

You will no longer receive Group calls but if someone dials you directly, either internally or through a direct dial number you will still receive the call

Do Not Disturb

No calls, internal or external, will target your User at all

Offline

Not available for calls


Device Manager

Device auto log-in is now controlled at a user level.

Selecting Auto login automatically logs you into your chosen device when you log into your clinical system.

For EMIS users this is accessed via Settings. SystmOne users can enable this option via the Device Manager below.

When the Phonebar is maximised you can select your call device. Your default options are the softphone or desk phone

You can also add a personal device such as your mobile to your profile

NOTE: Video calling is only available via your softphone

  1. Click on the current device icon, located to the left hand side of the Phonebar

  2. The Select Device window will open

EMIS

  1. Click on your preferred device to select it

A small tick will indicate the active call device

On launch the Phonebar will automatically connect you to the softphone, unless you enabled auto log in to the desk phone in your settings

If you are already logged into the Softphone via your User Console and you select the Phonebar as your device you will see an error message

Select the RETRY button to log yourself out of the Softphone and into the Phonebar

If you change your device whilst your status is set to Offline you will automatically become Available on your selected device

SystmOne

  1. The Device Manager window will open

    Green highlight is your current call device

  2. To change your device, hover over the selection, it will highlight blue

  3. Click to select this as your call device

    NOTE: If you are already logged into the Softphone via your User Console and you select the Phonebar as your device you will see an error message

    Select the RETRY button to log yourself out of the Softphone and into the Phonebar

  4. Clicking on the person icon next to a device will highlight it in blue. This indicates that you have chosen to automatically log into that device when you activate the Phonebar

  5. There is a tick box at the top of the Device Manager window that allows you to choose whether you are logged into the device straight away or whether you are asked to confirm via a confirmation window on your PC screen

  6. Favourite your deskphone - If you use the same deskphone or a selection of deskphones on a regular basis, you now have the option to favourite the deskphones that you are most likely to log into by clicking the star button next to the named deskphone(s)

  7. Select the deskphone as your call device as before

    NOTE: If you change your device whilst your status is set to Offline, you will remain Offline


Using a Personal Device

You can set up your mobile or home number in the Phonebar so this can be selected as an alternative call device to the softphone or deskphone

When you choose to use your personal device, whether that is your mobile or your landline handset, the device becomes a Surgery Connect device

Your colleagues and patients will not know which device you are using to make and receive calls and cannot see your personal number in the call ID

  1. Click on the current device icon, located to the left hand side of the Phonebar

  2. The Select Device/Device Manager window will open, select Mobile

  3. Enter the number of the personal device in the box

  4. Click SAVE

    You can now select this as a call device


Show/Hide/close Phonebar

The Phonebar is pinned to the bottom of the primary PC display screen

EMIS - Show/Hide

  1. Using your mouse, right-click on the Surgery Connect icon in your taskbar

  2. Select Close Window

    Your Phonebar will now be hidden

  3. When a call comes through your Phonebar will display automatically

  4. When minimised, you can display your Phonebar again. Left-click on the Surgery Connect icon in your taskbar

  5. This will display the Phonebar

SystmOne - Minimise

  1. Click on the icon in the Taskbar to minimise the Phonebar, click on the icon again to restore the Phonebar

SystmOne - Close

  1. Using your mouse, right-click on the Surgery Connect icon in your taskbar

Select Close Window

The Phonebar will now be closed completely - you will be logged out of the Phonebar

  1. To open the Phonebar you can click on the Phonebar shortcut,

    Or, type Phonebar in the Windows search box
